Information on announcements and reminders for clubs and activities

This document contains information about announcements for clubs and activities submitted to the daily email bulletin, What's Happening at Quail Creek.

The editorial policy adopted by the Communications Committee for What's Happening emphasizes club web pages as the primary source of information about club events and activities. What's Happening accepts and encourages two forms of announcement: (1) regular announcements of events and activities, and (2) brief reminders of regularly occurring events. Both are submitted using the announcement system but they differ in length. Unlike the regular announcement, the reminder consists of a short message with a link to a web page (if available).

Regular announcements for Clubs and Activities in What's Happening include
  • special club events (occurring once or infrequently) such as kick-off luncheons or annual BBQs;
  • seasonal messages, e.g., groups of classes, lecture series; and
  • information pieces in special editions published twice per year. (The next special edition is scheduled for early May.)

    All other club-related mentions are done as short notices that appear under "QC Reminders." These include reminders about regularly scheduled meetings and notices of web page changes. You, as the contributor, are responsible for the content of the reminder notice and the dates of its publication.
  • The reminder should be requested once using the announcement system, selecting "create reminder".
  • Note that only the reminder text in the reminder form is used to compose the reminder; highlights and the longer description used in regular announcements are NOT used for reminders and thus do not appear on the reminder form.
  • Supplemental document uploads are not supported for reminders.
  • An event's date may be mentioned if appropriate (e.g., a monthly activity).
  • A link to the club web page (or other web site) should be included. To obtain your club page address for that link, before logging in, go to the QC web site at http://quailcreekhoa.org. Under the "Clubs & Activities" tab, use the alphabetical categories to locate your club/activity and click on it. Once your page is visible, you can copy its web address from the address line at the top of the browser. It will look something like this:
    http://quailcreekhoa.org/Modules/ModuleOnly.aspx?cID=6290
    Then paste that into the "web address" field of the announcement form.
    (Of course you may link to a non-QC website if you have one.)
  • The reminder notice will appear in What's Happening on the dates you specify in the reminder form.

    Club representatives should keep announcements of routine (e.g., monthly) activities to a minimum and insure that details (including contact information, dates, times, and places) are on the club web page or other web site.

    Exceptions not covered above (e.g., last minute cancellations) are considered on a case-by-case basis and published at the discretion of the Editor of What's Happening.
